Challenges

The dealership was a greenfield operation. There was no legacy data to migrate and no existing system to lean on, but also no room for a slow start: the full ERP had to be running before the first vehicle was ever sold.

  • Three unrelated brands, one system. GWM passenger cars and pickups, Kinglong and Kingwin commercial buses, and NWH agricultural tractors, spanning 25-plus models, all had to run through one platform rather than three disconnected ones.
  • Four business motions on one backbone. Walk-in retail, corporate and government fleet deals, parts counter and inventory, and workshop after-sales each work very differently, yet all had to share a single source of truth for stock, customers, and accounting.
  • Large, structured master data. Over 11,000 OEM parts per brand had to be catalogued across brand-specific hierarchies and linked to the right vehicle models, so parts ordering, warranty, and service work would reconcile cleanly.
  • Genuinely complex after-sales. Ten distinct repair types (including warranty, insurance, goodwill, service contracts, OEM recall, and internal), each with its own billing route, account treatment, and approval flow, plus warranty claims and outsourced sublet work.
  • Built to grow from day one. The design had to carry the business from a single showroom and workshop to more locations across Syria, expansion into Africa, and a sub-dealer network, without a rebuild at each step.

The result is a single ERPNext platform where operational and financial data are the same data. There are no parallel databases and no shadow systems, so what happens on the floor is immediately reflected in the books.

  • VIN-level traceability. Every chassis is uniquely tracked from import through to customer handover, giving full visibility across retail and fleet.
  • A workshop built for the floor, not the back office. The custom GarageFlow platform runs repair orders, job cards, warranty claims, and service maintenance contracts, while a real-time Vue.js control panel shows every bay, technician, and job at a glance on a shop-floor display.
  • Real-time accounting. Every parts issue and sale posts cost of goods and revenue to the general ledger instantly, so finance never waits for an end-of-day batch or a manual reconciliation between stock and accounts.
  • Brand-aware without being fragmented. Warranty types, parts groups, and recall campaigns are configured per brand, while the underlying repair, billing, and accounting flow stays identical. A customer who buys a Haval today and an NWH tractor tomorrow is one customer in one ledger.
  • Growth by configuration, not development. Adding a branch, a brand, or a new repair type is a setup task the client's own admin team can perform. Being open source, the client owns their code and data with no vendor lock-in.

  • A staged, low-risk rollout. Retail came online first, then parts, then after-sales, with each pillar validated against real transactions before the next went live.
  • Finance works from live data. Cost and profit are visible in real time across retail, fleet, and workshop, with cost-centre detail carried automatically from source documents down to the ledger.
  • A single build that is already a network platform. New locations and sub-dealers are added as separate companies inside the same instance, sharing master data while keeping their own accounts, so a new site can be brought online in days rather than months.
  • A foundation ready for what comes next. The same system is set up to carry the planned expansion across Syria, into Africa, and out through the sub-dealer network.
